By the time a heater is loading out, the plan should already be settled. Fuel source, output requirement, crew assignments, backup options. Mobilization day is for executing the plan, not discovering it.

But that is not how it always goes.

On a lot of jobs, heating gets treated as a line item that gets checked off once a vendor is booked. The real questions, the ones that determine whether the plan actually holds up on location, get assumed instead of confirmed.

That is where a readiness check earns its place. Not as paperwork. As the difference between a plan that works and a plan that gets discovered not to work at the worst possible time.

Why readiness checks get skipped

Nobody skips this step on purpose.

It happens because schedules are tight and heating feels familiar. The completions team has run winter programs before. The vendor has "always been fine." The day rate is booked, the dates are set, and it feels like the planning is done.

It also happens because day-rate comparisons crowd out everything else. Once a number is agreed on, the conversation often stops there. Nobody circles back to ask whether the equipment matches the actual job.

That is how gaps make it all the way to location.

The 8-point readiness check

Before equipment leaves the yard, these eight things should be confirmed, not assumed.

1. Water volume

How many barrels actually need to be heated for this job? This is the number every other calculation depends on. A vague estimate here makes everything downstream vague too.

2. Starting water temperature

What temperature is the water coming in at? Cold source water changes the load significantly compared to water that has already been warmed elsewhere in the process.

3. Target temperature

What temperature does the water need to reach, and does that target hold steady or shift depending on stage of the job?

4. Fuel source availability

Is the plan propane, natural gas, diesel, or some mix? And is that decision based on what is actually available on location, not just what was used last time?

5. Gas quality, if natural gas is part of the plan

If field gas is in the mix, has anyone confirmed it is usable, not just present? Moisture, contaminants, and BTU consistency all affect whether the heater can actually run on it.

6. Equipment output match

Does the heater's actual output, on the fuel it will be running, match what this job requires? A rated BTU number on the spec sheet is not the same as confirmed output on the fuel being used.

7. Crew assignments

Who is running the equipment, who is monitoring it, and who has the experience to catch a problem before it becomes a bigger one?

8. Backup plan

If fuel conditions change, if output drops, if something fails at 2 AM, what happens next? Is there a name attached to that answer, or is it still undefined?

What happens when one gets skipped

Each of these items carries a real consequence when it gets skipped, not a hypothetical one.

Skip the volume confirmation and the equipment may be undersized for the actual job, discovered only once it is already running behind.

Skip the fuel quality check and the heater may lose output exactly when the job needs it most, with no one prepared for why.

Skip the backup plan and a fuel or equipment issue becomes an emergency instead of a response, because nobody has already decided who handles it.

None of these show up as a line-item cost. They show up as runtime, downtime, and pressure on the crew trying to manage a problem that should have been caught before mobilization.

Who should own this check

This is the part that often falls through the cracks. Everyone assumes someone else has confirmed it.

The completions lead may assume the vendor has matched equipment to the job. The vendor may assume the completions team has confirmed volume and fuel availability on their end. Both assumptions can be reasonable and still leave gaps unfilled.

The readiness check works best as a shared responsibility, walked through together before mobilization, not handed off silently to whichever side seems more likely to catch it.

Confirm it before, not during

A readiness check does not need to be complicated. It needs to happen at the right time, which is before the heater leaves the yard, not after it is running on location.

Eight questions. Real answers, not assumptions. That is what separates a heating plan that survives contact with the job from one that gets discovered mid-mobilization.
